Coaching Agreement

Last updated: September 2026

This Coaching Agreement sets out the basis on which coaching services are provided by Louie Judd, trading as Sustainable Leadership Studio ("SLS").

By booking or participating in coaching services, the client agrees to the following terms.

1. The coaching relationship

Coaching is a collaborative process designed to support reflection, learning, development, decision-making and purposeful action.

The role of the coach is to provide a confidential and constructive space in which the client can explore their circumstances, identify goals, challenge assumptions and consider possible ways forward.

The client remains responsible for their own decisions, actions and outcomes.

Coaching does not guarantee any particular personal, professional, financial or organisational outcome.

2. Coaching is not therapy or professional advice

Coaching is not psychotherapy, counselling, medical treatment or another form of healthcare.

It is also not a substitute for legal, financial, medical, psychological or other regulated professional advice.

Issues relating to wellbeing, stress or other personal circumstances may naturally arise during coaching. Where an issue appears to fall outside the appropriate scope of coaching, the coach may discuss this with the client and suggest that they seek appropriate specialist support.

The client remains responsible for deciding whether coaching is suitable for their needs.

3. Confidentiality

Information shared during coaching sessions will normally be treated as confidential.

SLS will not ordinarily disclose the content of coaching conversations to another person or organisation without the client's permission.

There are, however, circumstances in which confidentiality may need to be broken. These may include where:

  • disclosure is required by law or a lawful authority;

  • there is a serious and credible concern regarding risk of harm to the client or another person;

  • information concerns safeguarding or serious unlawful activity where disclosure is appropriate or required; or

  • the client has expressly authorised particular information to be shared.

Where reasonably possible and appropriate, the coach will discuss such a disclosure with the client before it is made.

4. Supervision and professional development

The coach may discuss aspects of coaching work within appropriate professional supervision, consultation or development activities.

Where this occurs, reasonable steps will be taken to protect the client's identity and confidentiality.

The purpose of supervision is to support ethical and effective coaching practice, rather than to report on individual clients.

5. Organisation-sponsored coaching

Where coaching is commissioned or paid for by an employer, organisation or other third party, the individual receiving coaching remains the coaching client.

Before coaching begins, appropriate boundaries will be established regarding:

  • the purpose and objectives of the coaching;

  • confidentiality;

  • what, if anything, may be reported to the sponsoring organisation; and

  • how progress or completion may be communicated.

The content of individual coaching conversations will not ordinarily be disclosed to the sponsoring organisation without the client's agreement.

SLS may provide limited administrative information where appropriate, such as confirmation that sessions have taken place.

Any different reporting arrangement will be agreed with the client in advance.

6. Client responsibility

Coaching works best when the client participates openly and actively.

The client is responsible for:

  • determining what they wish to work on;

  • deciding what information they wish to disclose;

  • considering the options discussed;

  • deciding whether and how to act;

  • completing any agreed actions they choose to undertake; and

  • seeking appropriate specialist assistance where required.

Suggestions, questions, exercises or observations made during coaching are intended to support the client's thinking rather than instruct them what to do.

Final responsibility for decisions and actions remains with the client.

7. Sessions and attendance

The duration and format of coaching sessions will be stated when booking or otherwise agreed between SLS and the client.

Clients should attend sessions at the agreed time and ensure, where reasonably possible, that they have an appropriate private environment in which to participate.

Where sessions take place online, clients are responsible for having a suitable device and internet connection.

8. Cancellation and rescheduling

Clients who need to cancel or reschedule a coaching session must provide at least 24 hours' notice.

Where at least 24 hours' notice is provided, the session may normally be rescheduled without charge.

Sessions cancelled with less than 24 hours' notice, or sessions which the client does not attend, will normally be treated as used and will not be refundable.

Where SLS needs to cancel or reschedule a session, the client will be offered an alternative appointment or, where appropriate, a refund.

Exceptional circumstances may be considered at SLS's discretion.

9. Late arrival

Where a client arrives late, the session will normally still finish at the originally scheduled time.

Where possible, the coach may choose to extend the session, but cannot guarantee that additional time will be available.

10. Fees and payment

The price applicable to a coaching service will be shown at the point of booking or agreed with the client before the service begins.

Unless otherwise agreed, payment is required in accordance with the payment arrangements stated when booking.

Any coaching package or organisation-sponsored engagement may be subject to additional written terms regarding fees, invoicing, session allocation or payment schedules.

11. Coaching records and personal information

SLS may maintain limited records necessary for the administration and delivery of coaching services.

Records will be handled in accordance with SLS's Privacy Policy and applicable UK data-protection law.

Clients are not required to disclose information that they do not wish to discuss.

Because coaching conversations can involve personal or sensitive subjects, SLS seeks to minimise the amount of sensitive personal information recorded outside the coaching conversation itself.

12. Recording sessions

Coaching sessions will not be audio or video recorded by SLS unless this has been expressly agreed with the client in advance.

Clients should not record sessions without first obtaining the coach's agreement.

Any agreed recording arrangement should establish its purpose, storage, access and deletion.

13. AI and automated tools

Sustainable Leadership Studio recognises that coaching conversations and materials may contain confidential, personal or commercially sensitive information.

The coach will not enter coaching session content, coaching notes, client reflections, client documents or other materials provided as part of the coaching relationship into generative artificial intelligence tools or large language models (LLMs).

This applies whether or not identifying information could be removed from the material.

AI tools will therefore not be used to analyse individual coaching conversations, generate interpretations of a client's coaching material, summarise session notes, recommend coaching interventions based on confidential client information, or otherwise process materials arising from the coaching relationship.

SLS may use AI and other digital tools for general business activities that do not involve coaching materials or confidential client information, such as developing public-facing content, administrative materials, research or general business resources.

Where SLS uses technology supplied by a third party for the administration or delivery of services, its use will be governed by the SLS Privacy Policy and appropriate data-protection arrangements.

The thinking that takes place within the coaching relationship remains between the client and the coach.

14. Ending the coaching relationship

Either the client or SLS may decide that coaching should end.

Clients may choose to stop coaching at any time, subject to any payment, cancellation or package terms already agreed.

SLS may also end or pause coaching where, for example:

  • coaching is no longer considered appropriate or beneficial;

  • the client's needs appear to fall outside the coach's professional scope;

  • professional boundaries are repeatedly breached;

  • payment obligations are not met; or

  • continuing the relationship would create an ethical, legal or safety concern.

Where appropriate, SLS will seek to communicate the reason for ending the relationship professionally and sensitively.

15. Complaints and concerns

If a client has a concern about their coaching experience, they are encouraged to raise it with SLS so that an appropriate resolution can be explored.

Formal complaints may be submitted using the contact details provided on the SLS website.

16. Agreement

By booking and participating in coaching with Sustainable Leadership Studio, the client confirms that they have had the opportunity to read this Coaching Agreement and understand the nature and boundaries of the coaching relationship.

This Coaching Agreement should be read alongside the Sustainable Leadership Studio Terms & Conditions and Privacy Policy.
